One of the most common questions we get from event planners is: 'How big should my screen be?' Getting this wrong can severely impact your event. Too small, and the people at the back disengage. Too large, and you might exceed your venue's height restrictions or blow your AV budget unnecessarily. Here is our practical guide to sizing your LED screen.
The 4/6/8 Rule for Viewing Distances
In the AV industry, we use a standard formula based on the distance from the screen to the furthest viewer. Here's a quick breakdown:
- 4x Screen Height: The ideal max viewing distance for detailed analytical content (complex spreadsheets, dense text).
- 6x Screen Height: The max viewing distance for standard reading (PowerPoint bullet points, clear graphics).
- 8x Screen Height: The max viewing distance for general viewing (video content, large IMAG camera feeds).
For example, if the back row of your audience is 24 metres away from the stage, and you are displaying standard PowerPoint presentations, you divide 24 by 6. Your screen needs to be at least 4 metres high.
Understanding Aspect Ratios
Once you know your height, you determine the width based on aspect ratio. The standard for modern content is 16:9 (widescreen). If your screen needs to be 4 metres high, and you want a 16:9 ratio, your width would be roughly 7 metres (4 x 1.77).
Don't Forget Pixel Pitch
Size isn't everything; resolution matters. The 'pixel pitch' is the distance (in millimetres) between each pixel on the LED panel. A lower number means higher resolution. Your pixel pitch is dictated by your CLOSEST viewer, not your furthest.
- P1.9 to P2.6: Ideal for conferences where the front row is very close (2-3 metres away).
- P3.9: The standard workhorse for most indoor events where the audience is 4+ metres away.
- P4.8 and above: Strictly for outdoor festivals or huge arenas where viewers are far away.
Venue Constraints
Always check your venue's ceiling height before finalizing your screen size. A common mistake in London hotel ballrooms is forgetting to account for the height of the stage (typically 0.3m to 0.6m) and the fact that the bottom of the screen should be high enough that sightlines aren't blocked by the audience's heads (usually 1.5m off the floor).
